In this article, we will explore how to automate the accounting of asset depreciation expenses and their distribution across a company’s departments. This process not only simplifies financial management but also ensures an accurate allocation of costs.

To begin, it is essential to have a department or cost‑center dimension defined. This allows us to identify the direct expenses associated with each center. However, some expenses cannot be directly assigned. In these cases, it is useful for the system to propose an automatic distribution based on predefined percentages.

Steps to Automate Asset Depreciation

Access to the Fixed Assets List

First, we open the fixed assets list and locate the record of the asset we want to depreciate. For example, let’s consider a set of development‑room tables with a net book value of €1,652.89 that we want to start depreciating from January 1, 2025.

Data Verification

We check the asset data and look at the associated posting group, in this case “furniture.” The corresponding depreciation expense account is 681001.

From the list, we calculate the depreciation for the end of January. The system proposes the depreciation entry for the asset in account 681001, without allocating anything to the cost center or department, which we would otherwise need to do manually. The system suggests the depreciation for the asset in account 681001, but it does not distribute any amount to a cost center or department, meaning this allocation would have to be done manually.

Automatic Depreciation Distribution

To automate the distribution, we access the furniture posting group and use the distribution option. Here, we can assign specific percentages to each department. For example, we could allocate 20% to the administration department, 30% to another department, and the remaining 50% to a third department.

Posting and Analysis

Once the distribution has been configured, we calculate the depreciation again. The system then generates three similar entries, each assigned to the corresponding department with its designated percentage. Finally, we post everything to analytical accounting, enabling a detailed analysis of expenses by department.
