How to display the line description in the general ledger entries in Business Central

Why is it important to customize accounting descriptions?

When managing invoices in Microsoft Dynamics 365 Business Central, the default general ledger entries use a generic text known as “posting text”. Although functional, this configuration can make tasks such as the following more difficult:

What happens by default in Business Central?

How to configure Business Central to copy the line description

Step 1 – Go to the sales setup

  2. Search for “Sales Setup” using the navigation search (the magnifying glass).

Step 2 – Activate the key option

  1. Scroll down to the bottom of the form.
  2. In the General section, enable the checkbox: Copy line description to G/L entries

This option is also available in the purchase setup, in a symmetrical way.

Step 3 – Post a new invoice

  1. Create a sales invoice with lines of type “G/L Account”.
  2. Add a meaningful description to each line.
  3. Run a posting preview before posting.

You will now see that the revenue and VAT G/L accounts inherit the description you entered on the line.

In addition to the lines, you can also customize the description that appears in the customer account (entry header). To do this:

  1. Manually modify the Posting Description field in the invoice header.
  2. Post the invoice or view the posting preview.
  3. Verify that the ledger entry shows the customized text for the customer.

Benefits of enabling this option in Business Central:

  • Improves traceability of accounting entries.
  • Facilitates reconciliation and audit tasks.

When does this functionality not apply?

Keep in mind that this option only applies to “G/L Account” type lines. If you use items or other line types, the description will not be transferred automatically to the ledger.
