Concern About Data Leaks
One of the main concerns for companies and organizations regarding security is data loss.
This is compounded by concerns about data leaks, whether intentional or unintentional, caused by users.
Data leaks can be triggered by malware infection on a network device, identity theft, or deception/fraud targeting a user.
The Need for OneDrive User Education and Training
In these circumstances, companies must be prepared and have an appropriate response when such events occur.
One aspect to prepare is the users themselves; they must be informed and trained in security matters to make decisions and take action if they suspect they are being attacked.
But if that's not enough, the IT administrator must be prepared and have tools to help prevent unexpected, accidental, or attack-induced data leaks.
Need for Data Security Tools
Many of these tools can be found in the Microsoft 365 admin console.
There are several options to protect data in our organization within the Compliance Administration Center.
But there are more tools that help address this issue. One example is what we'll review in today's article.
It may be a simple option, but limiting sharing with OneDrive for users can save us from headaches if their configuration isn't correct.
OneDrive Sharing Restrictions
Let's see how we can limit users' ability to share files with external users outside our organization.
Sometimes we have security and compliance policies that analyze the data we publish from our organization to limit these actions.
But if the option we're about to present is active, any user can share files with external users of our organization.
External Sharing Options in OneDrive
We can review this in the user's own settings.
Once the user is selected and we've accessed their settings panel, we go to the "OneDrive" tab.
Right after, we access "Sharing," specifically the "Manage external sharing" link.
This is where we enable or disable OneDrive sharing for users, meaning they can share their OneDrive files externally.
Additionally, there are other options, as shown in the previous image, that allow us to fine-tune the configuration if we permit external sharing in OneDrive.
Advantages of Data Security Measures
Knowing these options exist can help us, to some extent, protect our organization's data. Complement them with other policies and ensure they work correctly through testing.
How SharePoint and OneDrive Protect Your Data in the Cloud
Both platforms offer access control and permission management capabilities to ensure only authorized people can access documents and data stored on them. Additionally, they have backup and recovery capabilities, which ensures your data is protected against loss.
For an extra layer of security, SharePoint and OneDrive also offer threat detection and prevention features. This means the platforms can proactively identify and respond to potential security threats, giving you peace of mind.
