Why is it important to customize financial reports in Business Central?

Before we begin, it is crucial to understand why customizing financial reports can be very useful for your company. Personalizing these reports allows you to adapt the information to your specific needs, making it easier to make strategic and more informed decisions.

Steps to customize financial reports in Business Central

Step 1: Access the Finance Module

Step 2: Select the Financial Report

    • Click on Financial Reports in the Finance menu.
    • Select the profit and loss account you have already configured:
  • Choose the account you want to customize to view the financial data.

Step 3: Define the Columns for the Monthly View

  • Access Column Definitions:
    • Inside the profit and loss report, find the option to define columns.
  • Create or select an existing column definition:
    • You can create a new definition or select one you already have, such as “page month by month”.

Step 4: Configure the Monthly Columns

  • Define the first column:
  • The first column should show the total for the year. Leave the comparison date formula blank so that it reflects the total year‑to‑date balance.
  • Add columns for each month:
    • Add columns for each month, from January to December.
    • Configure each column to show the balance for that specific month’s period. Make sure that:
      • Period balance: Shows the balance existing in that specific month.
      • Account movements: The column must take the information from the accounting entries and show the net amount.
  • Configure the comparison date formula
The Date Formula Trick

We must not forget the date formula trick. This special structure allows us to display data clearly and effectively, providing valuable insights for decision‑making.

  • For the first month of the year, use the formula -PA.
  • For the following months, use the formula -PA + one month.

Step 5: Apply the Column Definition

  • Apply the column definition to your income statement:
    • Make sure that the column definition you have configured is applied to your income statement (profit and loss).

Step 6: Review the Final Result

  • Check the monthly view:
    • The first column should show the total amount for the current year.
  • The following columns should show the monthly balances from January to December.

When you apply our custom column definition, you will see how your company’s financial information comes to life. From the year‑to‑date total to the monthly details, each number tells a unique story.
